Assistant Manager, Publications, Library and Archive

Full-time Position

To manage and ensure proper operations of Publications, Library and Archive (PLA) Department at SAM, supporting the growth, and maintenance of the SAM Publications imprint, SAM research publications, SAM Archive and SAM Library. This in turn support and enhances SAM’s vision and mission as a leading and pivotal museum that exhibits, collects, and promotes contemporary art in Southeast Asia.





1. Publications

  • Production of SAM non-exhibition related, research titles
    • Project manage production of publications
    • Ensure that logistics, paperwork, and procurement for publications and related activities are completed smoothly
    • Liaise with contributors and editors and coordinate timely submissions of editorial material
  • Act as project editor for SAM research publications
    • Organise editorial meetings and record editorial decisions made
    • Manage the production (copyediting, translations, digitisation, transcriptions, copyright clearance, proof reading, design, and printing) processes of SAM research titles; assist with copyediting and proofreading
  • Sales, distribution, readership and visibility
    • Manage the sales and distribution of all of SAM’s titles 
    • Assist with drawing up distribution agreements; liaise with distributors, handle consignment requests, sales reports and billing; 
    • Assist in promoting the visibility and readership of SAM publications; such as outreach events and potential new distributors; 
    • Organise and manage SAM publications for participation in book fairs and special events, sale related activities, etc. 
    • Handle publication sale queries 
    • Manage process and record of complimentary publication copies, e.g., to senior management, NLB legal deposit, artists and other partners
  • Stock and inventory     
    • Maintain publications inventory and scheduled stock checks    
  • Exchange partnerships    
    • Maintain partnerships with existing publications exchange partners and assist to identify and establish new partnerships    
    • Ensure proper records are kept for all the above processes

2. Administration of PLA SOPs, paperwork and records 

  • Assist with record keeping and to ensure that all required paperwork, agreements, logistics and procurement are completed smoothly and in timely manner
  • Assist with clearance of copyright permissions and clearance processes of all archival material and work with SAM Legal to resolve any contractual or copyright issues
  • Manage, update, and/or refine PLA’s SOPs, document and record templates – request, usage and permissions forms, legal terms and conditions, and record and reporting templates
  • Assist to maintain a well-organised collection of material relating to SAM exhibition, collection, programmes that conveys its institutional directions, activities, and history, and facilitate access to the material
    • Work with other departments within SAM to collate SAM’s past and ongoing institutional, programmes, and exhibition history for research purposes; communicate PLA SOPs and processes to various parties
  • Work with PLA team members to ensure proper documentation of SAM events that possess art historical research value




  • Degree in training in literature and language, writing and criticism, art history, arts management, and/or related disciplines
  • Minimally 3-year work experience in a related field, as outlined below (Advantageous experience and knowledge):
    • Publishing: project management of publications; editorial work; publication distribution
    • Administration of art and resource institutions
    • Knowledge resource management or arts management
    • Research and writing on the arts
    • Work with artists and arts personnel in Southeast Asia       
    • Knowledge of and familiarity with art scenes in Southeast Asia.
    • Possess strong administrative, project management, paper work, and record-keeping skills
  • Has strong language skills
  • Is motivated, self-driven, organised, and acutely attentive to detail
  • Possess deep interest in publications and research, art history, and writing
  • Possess patience, rigour, and stamina in sustained, repetitive work       
  • Is helpful, communicative, and a team player
